  2. 2You have a reason to return home. Steady employment is one of the strongest "ties to home" you can demonstrate. An NOC signals that someone is expecting you back, and that you have income and responsibilities waiting for you.
  3. 3Your employer is aware of your travel. This may seem trivial, but embassies want to know that your trip is planned and legitimate — not something you arranged behind your employer's back.

Who Needs an NOC Letter?

Common NOC Mistakes That Cause Visa Refusal

These are the errors that actually lead to problems at the embassy. Avoid all of them:

1. Generic Template Without Specific Dates

If your NOC says "during the month of June" instead of "from 5 June 2026 to 19 June 2026," the visa officer may assume the letter is a pre-made template and not a genuine document issued for this specific trip. Always include exact dates.

2. Name Mismatch Between NOC and Passport

Your name on the NOC must match your passport exactly. If your passport says "Mohammed Abdul Rahman" and your NOC says "M.A. Rahman," that is a problem. HR departments sometimes use shortened names from internal records — double check before you submit.

3. Not on Company Letterhead

An NOC printed on plain white paper, or sent as an email printout, is typically rejected outright. It must be on official company letterhead with the company logo, registered address, and contact details pre-printed.

4. Missing Salary Details

Schengen consulates specifically require your salary to be mentioned in the NOC. Even for other visa types, including your salary strengthens the letter because it corroborates your bank statements. If your HR is reluctant to include salary, explain that it is a consulate requirement.

5. Dated More Than 30 Days Before Application

An NOC dated two months ago tells the embassy that the letter may no longer reflect your current employment status. You might have resigned or been terminated since then. Keep it within 30 days — ideally within two weeks.

6. No Contact Details for Verification

Some embassies call the company to verify the NOC. If there is no phone number on the letter, or if the number provided goes to voicemail or a personal mobile, verification fails. Include the company's main switchboard number or HR department direct line.

7. Unauthorized Signatory

8. Travel Dates Don't Match Application

If your NOC says leave is approved until 20 June but your visa application or flight booking shows a return on 25 June, the inconsistency will be flagged. Align all dates across every document.

How to Request an NOC From Your Employer

Step 1: Send the Request Early

Do not wait until the last minute. Send your request to HR at least two to three weeks before you plan to submit your visa application. HR departments have their own processing time, and if your company requires managerial approval before HR can issue the letter, that adds more days.

However, if you travel frequently for personal reasons and need visas regularly, you can request a general NOC that covers a date range (for example, "for the calendar year 2026"). Embassy Verification: Yes, They Do Call

Some applicants treat the NOC as a formality and assume nobody will check it. That is a mistake. Embassies — particularly Schengen consulates and the Japanese embassy — do call the phone number on the NOC to verify:

  • That you actually work at the company
  • That the signatory exists and holds the stated position
  • That the leave dates mentioned are accurate

Make sure the phone number on the NOC is a main company line that is answered during business hours — not a personal mobile number, and not a number that rings endlessly. If your company has a receptionist or switchboard, that number is ideal. If an embassy calls and nobody picks up or the person who answers has never heard of you, it raises a red flag.

Some companies in smaller cities or with limited HR staff may not be used to receiving verification calls. Give your HR department a heads-up that the embassy might call after you submit your application.

  • Printed on official company letterhead (not plain paper, not email)
  • Your full name matches your passport exactly

  • Salary is mentioned (essential for Schengen, helpful for all)

  • Signatory's name, designation, and contact details are clearly printed

  • A verifiable company phone number and email are included
  • The letter explicitly states you are expected to return to your position
