How to Book Canada Visa Biometrics in India

Canada's visa system is completely different from the UK and US processes. Everything is online — you never submit paper documents at a centre, and there is no interview for visitor visa applicants. The only reason you visit a VFS Global centre is to provide biometrics (fingerprints and a digital photograph). After that, everything happens digitally between you and Immigration, Refugees and Citizenship Canada (IRCC).

This sounds simpler than the US or UK process, and in many ways it is. But the Canada system has its own complexity: the online portal is notoriously difficult to navigate, the Biometric Instruction Letter (BIL) has a strict 30-day validity, and processing times from India are currently among the longest in the world (typically 30-90 days for visitor visas). Here is how to navigate every step.

The Full Sequence

  1. 1Create an IRCC account (GCKey or Sign-In Partner)
  2. 2Complete the online application for a Visitor Visa (TRV)
  3. 3Upload all supporting documents digitally
  4. 4Pay fees online (CAD 100 visa fee + CAD 85 biometrics fee = CAD 185 total)
  5. 5Receive the Biometric Instruction Letter (BIL) — this appears in your IRCC account
  6. 6Book a VFS Global appointment within 30 days of the BIL
  7. 7Attend the VFS appointment — biometrics only (no documents collected)
  8. 8Wait for IRCC processing — typically 30-90 days from India
  9. 9Submit passport if approved — either by courier or at VFS
  10. 10Receive passport with visa — returned by courier or collection

Step 1: Create Your IRCC Account

Go to canada.ca/immigration and create an account. IRCC offers two login options:

GCKey: A username/password account created specifically for Canadian government services. This is what most international applicants use. You create a username, password, and set up recovery questions. The interface is functional but dated.

Sign-In Partner: Uses your Canadian bank login (if you have one) to authenticate. This is primarily for Canadian residents applying for other immigration services. Most Indian applicants will use GCKey.

!
Important Use a personal email address you check regularly. IRCC sends critical notifications (request for additional documents, decisions, passport submission requests) to this email. Missing a notification can delay your application by weeks.

Step 2: Complete the Online Application

After logging in, you will navigate to the "Apply to visit Canada" section. The system asks you a series of eligibility questions to determine which forms you need to fill out.

Forms you will complete:

  • IMM 5257 — Application for Temporary Resident Visa (the main form)
  • IMM 5645 — Family Information Form
  • Schedule 1 — Background/Declaration form (covers criminal history, military service, organizational memberships)

The forms are downloaded as PDF fillable documents. Fill them on your computer (not by hand), then upload the completed PDFs back to the portal. This PDF-based system is confusing for first-time applicants — you are essentially downloading, filling, and re-uploading rather than filling a web form directly.

Tips:

  • Use Adobe Acrobat Reader to fill the PDFs — other PDF readers sometimes cause compatibility issues
  • Click the "Validate" button on each form before saving — this checks for missing required fields
  • The system generates a barcode when you validate, which IRCC uses for processing — do not skip this step

Step 3: Upload Supporting Documents

IRCC specifies which documents to upload. Each document slot has a file size limit (typically 4MB per file) and accepted formats (PDF, JPEG, PNG).

Standard uploads for a Visitor Visa from India:

DocumentWhat IRCC ExpectsTips
PassportColour scan of bio-data pageBoth current and old passports
Digital Photo35mm x 45mm, white backgroundCanada's photo spec is different from US and Schengen
Purpose of TravelCover letter explaining your visitIRCC does not interview you — this letter is your chance to explain
Proof of Means of Financial SupportBank statements (3-6 months)Consistent balances, regular salary credits, converted to CAD for context
Employment ProofLetter from employer or business documentsShould confirm position, salary, leave approval, and intent to return
Invitation Letter (if visiting family)Letter from Canadian hostInclude host's immigration status, address, relationship to you, and their supporting financial documents
Travel HistoryCopies of previous visa stampsShows compliance with previous travel rules
Itinerary/Travel PlansYour planned dates and activitiesBeing specific helps — "visiting cousin in Toronto for 2 weeks, attending niece's graduation" is better than "tourism"

Document quality matters: IRCC officers review everything on-screen. Blurry scans, partial documents, or cut-off text will hurt your application. Use a proper scanner or a high-quality phone scanning app. Make sure every page is readable and complete.

Step 4: Pay Fees

The total government fees for a single adult visitor visa application:

FeeAmount (CAD)Amount (INR, approximate)
Visitor Visa processing fee$100~6,200
Biometrics fee$85~5,300
Total$185~11,500

Family pricing (a genuine advantage of the Canadian system):

  • Visa fee cap: CAD $500 for families of 5+
  • Biometrics cap: CAD $170 for families of 2+
  • A family of 4 pays: $400 (visa) + $170 (biometrics) = $570, compared to $740 if everyone paid individually

Payment is by credit or debit card (Visa, Mastercard, American Express) through the IRCC portal. The charge is in CAD and your bank converts to INR at their rate plus any foreign transaction fee.

Step 5: The Biometric Instruction Letter (BIL)

After payment, a Biometric Instruction Letter (BIL) appears in your IRCC account. This is an automated letter confirming that you need to provide biometrics and that you have 30 days to do so.

The 30-day clock is strict. From the date on the BIL, you have exactly 30 days to attend a VFS appointment and provide biometrics. If you miss this window, your application may be delayed or returned. In practice, IRCC sometimes processes late biometrics, but do not count on this.

What to do immediately after receiving the BIL:

  1. 1Download and save the BIL PDF
  2. 2Go to the VFS Global website and check appointment availability
  3. 3Book the earliest available appointment

Step 6: VFS Global Canada Centres in India

CityLocationTypical Availability
New DelhiBlock E, International Trade Tower, Nehru PlaceModerate demand — book 1-2 weeks ahead
MumbaiUrmi Axis Building, Famous Studio LaneHigh demand — book 2-3 weeks ahead
ChennaiTamarai Tech Park, PerungudiModerate — usually available within 1 week
BangalorePrestige Atrium, ShivajinagarModerate — IT corridor traffic
KolkataEcospace Business Park, New TownLow demand — often same-week availability
ChandigarhSCO 86-87, Sector 17-CLow demand — often available within days
HyderabadiLabs Centre, MadhapurModerate
AhmedabadShelby Centre, S.G. HighwayLow demand

Booking process:

  1. 1Visit vfsglobal.ca/canada/india
  2. 2Create a VFS account (separate from your IRCC account)
  3. 3Enter your IRCC application number and BIL reference
  4. 4Select your preferred centre
  5. 5Choose a date and time from available slots
  6. 6Pay the VFS service fee (approximately INR 1,500-2,500 depending on the centre)
  7. 7Receive confirmation email with appointment details

If no slots are available within your 30-day BIL window: Check multiple cities. Chandigarh, Kolkata, and Ahmedabad typically have the shortest waits. If truly nothing is available, contact VFS Global customer service — in some cases, walk-in accommodations are made for applicants whose BIL is about to expire.

Step 7: What Happens at the VFS Centre

The Canada biometrics appointment is the shortest VFS visit you will ever have. Unlike UK or Schengen appointments, VFS does NOT collect your documents — everything was uploaded online already. You are only there for fingerprints and a photo.

What to bring:

  • Printed BIL (Biometric Instruction Letter)
  • Original passport
  • VFS appointment confirmation

What NOT to bring:

  • Supporting documents (they were uploaded online — VFS does not take paper)
  • Old passports (not needed for biometrics — only for the online upload)

At the centre:

  1. 1Check in at the reception counter
  2. 2Wait for your token to be called (typically 10-30 minutes)
  3. 3Fingerprints scanned (all 10 fingers, digital scanner)
  4. 4Photo taken (at the centre — you do not need to bring printed photos)
  5. 5Receive a confirmation receipt
  6. 6Leave

Total time: 15-40 minutes including waiting. This is significantly faster than a UK or Schengen VFS appointment.

After biometrics: Your biometric data is transmitted to IRCC electronically. You will see your IRCC application status update to reflect that biometrics have been received, usually within 1-3 business days.

Step 8: The Long Wait — Processing from India

This is where Canadian visitor visa applications from India get frustrating. IRCC processing times for Indian applicants are among the longest in the world, typically ranging from 30 to 90 days as of April 2026.

Why so long?

India is one of the highest-volume source countries for Canadian visitor visa applications. IRCC processes applications from a centralized processing centre, and the backlog has been significant since the post-pandemic surge in applications. Additionally, Indian applications undergo more detailed review than many other nationalities due to higher refusal rates.

Tracking your application:

Log into your IRCC account to check status. The status messages are:

  • "Application received" — IRCC has your documents and biometrics. Processing has not started.
  • "In progress" / "In review" — An officer is reviewing or will review your file.
  • "Medical exam required" — You need to complete a medical with a designated panel physician. This typically happens for visits longer than 6 months.
  • "Original passport request" — Your visa has been approved! IRCC asks you to send your passport so the visa can be placed inside. This is the good news message.
  • "Decision made" — A final decision has been reached. Check your email for details.

Request for additional documents:

IRCC sometimes asks for additional documents during processing. This request comes via your IRCC account and to your email. Respond promptly — delays in responding can slow your case or lead to refusal on the basis of incomplete information.

Step 9: Passport Submission (If Approved)

If approved, IRCC asks you to submit your passport so the visa vignette (sticker) can be placed inside. In India, this is done through VFS Global.

Options:

  1. 1VFS drop-off: Book a passport submission appointment at a VFS centre. Bring your passport and the passport submission request from IRCC.
  2. 2Courier: Some VFS centres accept passport submission by courier. Check with your specific centre.

VFS typically returns your passport with the visa within 5-10 business days of receiving it. Courier return is available for an additional fee.

Common Issues and Solutions

"My BIL expired before I could book an appointment"

Contact IRCC through your online account using the web form. Explain the situation. In many cases, IRCC re-issues the BIL with a new 30-day window. This is not automatic — you must request it.

"My application has been processing for over 90 days"

You can submit a web inquiry through your IRCC account. Include your application number and the date your biometrics were completed. IRCC is obligated to respond but the response is often a generic acknowledgment. If processing exceeds 6 months, consider contacting your Canadian host (if any) and asking them to contact their Member of Parliament — MP inquiries to IRCC carry weight.

"I was asked for a medical exam"

This is normal for applications where the intended stay exceeds 6 months or where IRCC identifies health-related concerns. Book an appointment with a designated panel physician (DMP) in India — find one at canada.ca/panel-physicians. The medical results are submitted electronically by the physician. Cost: approximately INR 5,000-10,000. The exam includes a general physical, chest X-ray, and blood/urine tests.

"GCMS notes — can I get them?"

If you are refused, understanding the exact reason is critical for a reapplication. Under Canadian access to information law, a Canadian citizen or permanent resident can request your Global Case Management System (GCMS) notes — the internal file that the officer reviewed. If you have a family member or friend in Canada, they can file this request (with your consent) for $5 CAD. The notes typically arrive in 30-60 days and provide far more detail than the refusal letter. This is a genuinely useful feature unique to the Canadian system.
